Guildford College is one of the leading colleges of
further and higher education in Surrey. Their
mission is "to satisfy fully the needs of our
customers and the community for individual and
organisational development through lifelong
education and training".
Guildford College has a vast range of vocational and
academic qualifications, well-qualified and
experienced staff alongside well-equipped and modern
learning facilities. In addition to their high
quality human and physical resources, they provide
access to the latest network systems, interactive
learning materials, email, Internet and over 800
PCs.
Making the most of technology
Guildford College realises the benefits that can be
gained from technology and make the most of this,
not only with their student population, but within
the college itself. The college employs around 650
staff and currently has a personnel team of
four.
When Janet Melbourne, Personnel Manager at Guildford
College decided to change their Human Resource
software systems her main priority was to ensure
that the system would be easy to use and met the
requirements from both an HR and College
perspective. After reviewing several of the most
well known systems within the industry, Janet and
her team chose Select HR.
“Select HR has been fantastic. We invested some
time in the beginning to make the most of the system
and it now helps us with all areas of our work”.
Guildford College have used Select HR since early
2000. During this time they have successfully
produced their SIR, inputted personal, salary and
contracts details for all their staff and recorded
applicants, using the system to track their progress
and produce letters. In addition, they now generate
contracts of employment directly from the system and
from the beginning of 2001 will be using the system
to assist with absence management and health and
safety.

Reporting and the SIR
Janet recalls, “We produced the SIR at the touch of
a button. It was particularly useful to be able to
do test runs. The system creates the SIR then shows
a list of any defaults applied allowing us to change
any information before submitting the report.
Select HR integrates the SIR requirements into the
main system, so we don’t have to waste time
inputting information into a separate module”.
“ One of my main criteria for buying a system was
that I had to be able to use the report writer”.
Select HR has an integral report writer that
contains many standard reports and allows users to
create their own. Select Software provides training
on report writing, as well as all other parts of the
system and has a report writing service for complex
reports or those needed in a hurry.
Ongoing Support
“We have always found the helpdesk very good but I
also like to be able to find out information from
the manual”, says Kevin Harvey, Personnel
Administrator. “I have linked all our standard
documents to Select HR so it now produces letters
and contracts automatically. I find the system very
useful for producing reports and know that I can
always count on the expertise of the helpdesk if I
need it”.
Guildford College plan to extend the use of the
system to other parts of their organisation and look
forward to producing the new SIR report this year at
the touch of a button. Janet Melbourne has joined
the Select Software User Group as a committee member
to represent the interests of our college customers
alongside her colleagues from private industry.
